Project Position Overview:
For this project, our team will support a leading provider of real-time clinical trial oversight solutions by filling an Operations Support Specialist position. This role is designated for an advanced or fluent in Japanese (N1/N2) and English. The position requires clear communication, operational accuracy, and a high level of attention to detail.
Key Responsibilities:
As an Operations Support Specialist, you will play a key role in ensuring smooth daily operations by managing user support requests, preparing shipping documentation, responding to queries, and monitoring study alerts. You will also contribute to the success of the project by conducting training sessions and providing translations when needed, helping ensure clear and effective communication across stakeholders.
1. Support:
- Provide day-to-day operational support to external stakeholders.
- Assist with troubleshooting issues and identifying areas for process improvement.
2. Queries:
- Respond promptly to external queries, providing clear and accurate information.
- Escalate complex issues to the appropriate teams while ensuring timely resolution of the original query.
3. Alerts:
- Monitor and manage system alerts related to site operations, ensuring swift action to ensure sample integrity and proper execution of the protocol is taken when required.
- Communicate critical updates or pertinent information to relevant stakeholders.
4. Trainings:
- Develop and deliver training sessions to enhance knowledge and operational efficiency.
- Maintain up-to-date training materials and resources, tailoring content to meet team needs.
5. Shipping Manifests:
- Prepare, review, and manage shipping documentation to ensure accurate and complete sample records are provided to central and testing labs.
- Ensure that all manifests are aligned and comply with company policies.
Optional Responsibilities (For Japanese Speakers)
1. Translations:
- Translate documents, communications, and training materials as needed to ensure accessibility across multiple languages.
- Act as a liaison for multilingual teams to facilitate clear communication.
Yêu cầu công việc
- Experience in an operations, administrative support, or customer service role.
- Advanced or fluent English communication skills, both written and verbal.
- Japanese language proficiency (JLPT N1 or N2 level).
- Strong organizational and time management skills with high attention to detail.
- Proven ability to manage multiple tasks and priorities in a fast-paced environment.
- Tech-savvy and able to quickly learn and adapt to new software platforms; experience conducting user training is a plus.
- Comfortable providing user support, managing documentation, and handling operational processes with accuracy.
- Strong interpersonal and collaboration skills to work effectively with international and cross-functional teams.
- Problem-solving mindset and willingness to proactively identify and address issues.
- Self-motivated and adaptable.
- Experience working in a global or multicultural environment is a plus.
